We are looking for a dedicated Administrative Assistant to join our Dallas office. 

Responsibilities

This individual will be a dependable and detail-oriented team player; representing Corgan’s culture, philosophy and brand; and assisting others in a client-centric, courteous, professional, and thoughtful manner. Candidate will conduct administrative and clerical responsibilities to include but not limited to:

 

  • Process expense statements for the staff members on the studio
  • Coordinate and arrange meetings, prepare agendas, arrange food, and record and transcribe minutes of meetings.
  • Maintain team calendars
  • Prepare AIA documents as requested
  • Compose and type routine correspondence, AIA contracts, meeting memos, punch lists, field reports and letters. 
  • Transcribe memos, letters and field reports for assigned team.
  • Reserve conference rooms. Maintain appearance of these conference rooms as well as assigned coffee bar.  Maintain assigned floors’ supply of copy and fax machine paper and toner as well as team property.
  • Answers and screen telephone call and arranges conference calls
  • Coordinate business travel for staff members on the teams, including flights, cars, rentals, and other reservations as necessary
  • Greet scheduled visitors and direct to appropriate area or person.
  • Prepare intra- and inter-office mail, outgoing mail and correspondence, including e-mail, couriers, and deliveries.
  • Assist with team marketing efforts, including creating and/or editing presentations, updating resumes and submitting proposals.
  • Provide back-up support to Receptionist when needed
  • Assist with special projects and research as needed

Qualifications

This is an in office position in our downtown Dallas office.  Qualified candidates should exhibit strong organizational and communication skills, along with high attention to detail and a “can do” attitude. Must have ability to multi-task numerous duties and prioritize accordingly. Bachelors or Associates degree preferred along with 5+ years experience; or equivalent combination of education and experience.  Proficient MS Office skills required.
